By requesting, approving or paying for travel services through TBSWilliams Travel, you agree to the these terms and conditions.
1. Role of TBSWilliams Travel
- TBSWilliams Travel acts as a travel advisor and booking intermediary between you and travel suppliers, including but not limited to cruise lines, airlines, hotels, resorts, tour operators, transportation companies, excursion providers, and travel insurance providers.
- TBSWilliams Travel does not own, operate, manage, or control these third-party suppliers and is not responsible for their actions, delays, cancellations, errors, service issues, schedule changes, financial default, accidents, injuries, or failure to provide services.
2. Quotes, Pricing, and Availability
- All quotes are based on availability at the time they are provided. Prices, promotions, cabin categories, room types, flight schedules, taxes, fees, and supplier offers may change at any time until a deposit or full payment is made and the booking is confirmed.
- Once your booking is confirmed, the pricing will generally be locked in according to the supplier’s terms. However, certain government taxes, resort fees, fuel surcharges, airline fees, or supplier-imposed charges may still be subject to change.
3. Booking and Payments
- A deposit or full payment may be required to secure your reservation. Payment deadlines are set by the travel supplier and must be followed to keep your booking active.
- Failure to make payments by the required deadline may result in cancellation, loss of deposit, price changes, or loss of promotional offers.
- Payments may be made by approved payment methods, including credit card, debit card, or other supplier-approved options. TBSWilliams Travel does not guarantee that a reservation is confirmed until payment has been successfully processed and confirmation has been received from the supplier.
4. Cancellations, Changes, and Refunds
- Cancellation and change policies vary by supplier, destination, travel type, fare type, and date of cancellation. Before booking, you will be provided with the cancellation terms that apply to your specific trip.
- If you need to cancel or change your reservation, you must notify TBSWilliams Travel as soon as possible. Cancellation fees, change fees, non-refundable deposits, supplier penalties, or fare differences may apply.
- Refunds, if allowed, are processed according to the supplier’s policy and timeline. TBSWilliams Travel does not control supplier refund processing times and is not responsible for delays once a refund request has been submitted.
5. Travel Protection / Travel Insurance
- Travel protection is strongly recommended for every trip. Travel insurance may help protect you from certain unexpected situations such as trip cancellation, medical emergencies, travel delays, lost baggage, or interruptions.
- It is your responsibility to review the insurance options, understand what is and is not covered, and decide whether to purchase coverage. Declining travel protection may result in the loss of some or all of your trip costs if you need to cancel, interrupt, or change your travel plans.
6. Passports, Visas, Identification, and Travel Documents
- You are responsible for making sure you have the correct travel documents for your trip, including passports, visas, government-issued identification, vaccination records, entry forms, or any other documents required by the destination or supplier.
- Passport and visa rules vary by destination. Some countries require passports to be valid for at least six months beyond your travel dates. It is your responsibility to verify the specific requirements for your destination before travel.
- TBSWilliams Travel is not responsible for denied boarding, denied entry, missed travel, cancellation penalties, or additional expenses caused by missing, expired, incorrect, or insufficient travel documents.
7. Health, Safety, and Destination Requirements
- You are responsible for reviewing all health, safety, entry, vaccination, and travel advisory information related to your destination before departure.
- Travel involves risk, including but not limited to illness, injury, delays, weather disruptions, political unrest, supplier changes, and other unexpected events. TBSWilliams Travel is not responsible for health issues, accidents, emergencies, denied entry, or other travel disruptions that occur before, during, or after your trip.
8. Itinerary Changes and Supplier Changes
- TBSWilliams Travel will make reasonable efforts to provide accurate itinerary information. However, travel suppliers may change schedules, ports, flights, accommodations, excursions, activities, or other trip details with or without notice.
- If changes occur, TBSWilliams Travel will assist where possible, but final decisions and remedies are controlled by the travel supplier.
9. Client Responsibilities
- You agree to provide accurate names, dates of birth, contact information, passport details, traveler information, and payment information. Names must match the traveler’s government-issued identification or passport.
- You are responsible for reviewing all confirmations, invoices, travel documents, and itineraries for accuracy. Any errors should be reported immediately.
- You are also responsible for following all local laws, customs, supplier rules, cruise line policies, airline policies, hotel rules, and destination requirements while traveling.
10. Special Requests and Accessibility Needs
- Special requests such as bedding preferences, room location, dietary needs, mobility assistance, celebrations, adjoining rooms, or seating preferences may be submitted to the supplier, but they are not guaranteed unless confirmed in writing by the supplier.
- Travelers with medical, mobility, accessibility, or dietary needs should notify TBSWilliams Travel before booking so that appropriate requests can be submitted when possible.
11. Fees
- TBSWilliams Travel may receive commission from travel suppliers for certain bookings. Any planning fees, service fees, change fees, or cancellation fees charged directly by TBSWilliams Travel, if applicable, will be disclosed before you agree to book.
- Supplier fees are separate and may apply according to the supplier’s terms.
12. Group Travel
- For group trips, cabins, rooms, rates, amenities, and promotions are subject to availability and supplier deadlines. Group space may be limited and can be released by the supplier if deposits or payments are not made on time.
- Each traveler is responsible for their own payments, documents, insurance decisions, and compliance with supplier policies. One traveler’s cancellation or non-payment may affect rooming arrangements, pricing, or group benefits.
13. Chargebacks and Payment Disputes
- By authorizing payment for travel services, you agree to the supplier’s payment, cancellation, and refund terms. If you dispute or charge back a valid payment after services have been booked or provided, you may remain responsible for any supplier penalties, fees, or collection costs associated with the dispute.
14. Limitation of Liability
- TBSWilliams Travel is not liable for losses, damages, delays, injuries, accidents, cancellations, denied boarding, missed connections, schedule changes, supplier errors, weather events, acts of God, government actions, pandemics, civil unrest, labor strikes, mechanical issues, or any other events outside of its control.
- TBSWilliams Travel’s role is to assist with planning and booking travel services. The actual travel services are provided by independent third-party suppliers.
15. Acceptance of Terms
- By approving a quote, submitting payment, signing a travel authorization form, or allowing TBSWilliams Travel to book travel on your behalf, you acknowledge that you have reviewed and agree to these terms and conditions.
