What counts as a “group”?

A group is multiple travelers booking the same trip with shared dates and a shared purpose—birthday trips, family reunions, friends’ getaways, church groups, retreats, corporate trips, destination celebrations, and more.

What types of groups do you plan?

What’s the minimum number of people needed?

It depends on the supplier (cruise line/resort/tour operator). Some group programs start around 8+ cabins/rooms, while others can be created with fewer travelers. If you’re not sure, I’ll guide you to the best setup.

What do you handle for the group?

I can manage the planning from start to finish, including:

  • Group booking setup and tracking

  • Payment schedule reminders and deadlines

  • Room/cabin options and pricing guidance

  • Rooming lists (who is in which room)

  • Optional add-ons (excursions, transfers, travel protection)

  • Final documents and travel checklist

What do I (the group leader) need to do?

You don’t have to do everything. Most group leaders simply:

  • Choose the trip/date that fits the group

  • Share the booking link/info

  • Encourage everyone to pay on time

  • Communicate any group preferences (birthday dinner, matching shirts, etc.)

Can people book their own room and pay separately?

Yes. Most groups are set up so each traveler pays their own reservation directly (which avoids awkward money handling). If you want one person to pay for everyone, that can also be arranged.

Is everyone required to do the same activities?

No. Your group can have shared moments (dinners, excursions, photos) while still giving people freedom to do their own thing.

How far in advance should we start planning?

For the best options and pricing, I recommend:

  • Cruises: 6–12 months in advance (earlier for popular sailings)

  • All-inclusive resorts: 4–10 months in advance

  • Holiday/peak travel: 8–14 months in advance

How do deposits and payment plans work?

Most suppliers offer:

  • Deposit to reserve

  • Monthly payments

  • Final payment deadline (set by the supplier)

I’ll provide a clear payment schedule so everyone knows what’s due and when.

Can travelers join the group after it’s already started booking?

Usually yes—as long as space is still available and deadlines haven’t passed. Pricing may change over time, so earlier is better.

Are group rates always cheaper?

Not always, but groups often offer added value like space held for cabins/rooms, potential amenities, and smoother coordination. I’ll always be honest about what’s a true win and what isn’t.

Do you charge a planning fee?

No. In most cases, I’m paid directly by the travel supplier when you book through me.

What if someone needs to cancel?

Cancellation policies are set by the supplier and vary by date. I strongly recommend travel protection so travelers have coverage for unexpected situations. Before anyone books, I’ll share the key deadlines and penalties clearly.

Can names be changed if someone can’t go?

Sometimes, yes depending on the supplier and timing. Name-change rules and fees vary, and some bookings have limits. If this is a concern, I’ll advise the best way to book from the start.

Do you offer travel insurance?

I can help you review travel protection options and choose what fits your trip. Coverage and eligibility vary by provider and destination.

Can you help with flights?

Yes, either:

  • Travelers book their own flights (most flexible), or

  • I coordinate flights (individual or group airfare when available)

Can you arrange excursions, transfers, and special events?

Yes. I can help with:

  • Airport transfers

  • Excursions/activities

  • Group dinners

  • Surprise moments, decor, and celebration add-ons (where allowed)

What about passports and entry requirements?

I’ll provide reminders and guidance, but travelers are responsible for having valid documents (passport, visas, etc.). If your trip is international, I’ll tell you what’s required and by when.

What if someone in the group has accessibility needs or dietary needs?

Tell me early. I’ll help request accommodations, but approvals depend on the supplier. The earlier we communicate needs, the smoother it goes.

How do we get started?

Start with these three details:
